[Faculty] FW: **IMPORTANT** New Requirement for T2 Travel Approval

Faculty,

 

Dr. Lee had two questions regarding this "New" University/State Travel
policy and how it relates to the Foundation.  The "New" University Travel
Policy is separate from the Foundation and therefore does not change the
current Travel Foundation policies and procedures.

 

If you plan to use your Foundation grant funds, you still need to complete a
State "T2" and have your Department Chair, the Dean, and you sign.  You
would enter a zero dollar amount for expenses and write on section of oracle
account number "FOUNDATION FUNDS".    This "new" State T2 was sent to you on
my April 5, 2011, email.  

 

Once all the signatures (traveler, department chair, and Dean) are obtained
your department coordinator will keep it on file at the department level.
Again, this is if you are using foundation funds.  Please keep in mind,  the
University/State has its own signature requirements.  Please refer to the
email sent to you on 6/3 for further details. 

 

IF YOU ARE TRAVELING INTERNATIONALLY USING YOUR FOUNDATION (GRANT FUNDS) YOU
STILL NEED TO COMPLETE THE FOUNDATION RISK FOREIGN TRAVEL DOCUMENT AND
ELECTRONICALLY EMAIL IT TO BOB BROWN AT THE FOUNDATION WHICH IS ON THE FORM
AND HAS A LINK.  I have attached that for you.  The form is also on the
Foundation web site under forms.  Again, the University/State Travel
Department has its own travel insurance form that you fill out when using
University/State funds for traveling internationally.

 

One other question a few people asked is in regards to the "New"
University/State T2 Travel Approval Chart emailed to you on 6/3 regarding
required signatures.  Who is the Associate Vice President for our College?
The answer is Ethan Singer at Academic Affairs.

Hi Jacqueline:

 

                Suppose we do not use state funds for our travel; but we
still want to be sure that we are covered by the university insurance. Do we
still need to fill out the T2 form? Also, if we are traveling during the
summer on university business (for example, I have two conference  trips,
one of them international) and am not using state funds, do I still need to
(a) fill out the T2 form and (b) fill out the FTIP form?

Attached and below please find important information for all travel,
effective immediately.

 

On May 6, 2011, Chancellor Reed sent a memorandum to all CSU Presidents
regarding CSU Hiring and Travel.  You have likely already been notified of
this memorandum within your respective divisions.  

 

In the memorandum, in addition to requesting a reduction in travel spending,
the Chancellor has directed that each campus implement a process for review
and approval of all travel at appropriately high levels and that approval of
travel be restricted to cases that serve mission-critical needs.  The
memorandum goes on to specify minimum levels of review and approval for both
in-state, out-of-state and international travel.  The following chart has
been designed to assist us in implementing these requirements at San Diego
State University.  These requirements are effective immediately.
